Client Benefits Specialist

Responsible for the development and implementation of an effective and efficient intake and client services process beginning with the client’s first contact with the agency and continuing through the client’s discharge.  Works closely with the Administrative Director, Clinical Director and clinical staff as well as the Executive Director and other support staff to achieve the missions and goals of the agency.


General Responsibilities

  • Answer multi-line phones and either direct the caller to the appropriate party or handle the caller’s needs yourself.
  • Greet patients upon arrival, sign them in and obtain insurance information and any other necessary data.
  • Provide patients with intake and new patient forms as well as copies of our office policies and legally required documents.
  • Assign clients to the appropriate counselor or resident (in cooperation with the Clinical Director).    Prepare correspondence for each new client prior to initial appointment.
  • Schedule appointments in CarePaths for new and recurring patients based on counselor, resident and intern availability.
  • Responsible for uploading appointments to Tavoca for electronic reminder of upcoming appointments.
  • Record information from initial intake, client paperwork and billing forms into CarePaths.
  • Maintain hard copy patient records as well as the files stored in our EHR (CarePaths).
  • Process payments from patients for co-pays and uninsured visits and print receipt for customer.
  • Prepare discharge correspondence and manage each client file in preparation for utilization review.
  • Receive and route mail, phone calls and office visitors.
  • Assist with operations responsibilities, e.g., prepare bank deposit and record credit receipts.
  • Responsible for waiting room and front desk cleanliness during office hours.  Works with staff to maintain overall office appearance and cleanliness.
  • Gather requested information for records requests and forward to Administrative Director for auth release.
  • Provide patients with support and guidance as needed.
  • Assist Executive Director, Administrative Director, Clinical Director and Therapists as needed.

Billing & Insurance Responsibilities

  • Verify insurance benefits for all new clients and record benefit information on the “Record of Services” in the new client file.
  • Responsible for daily verification of MA benefits.
  • Setup insurance benefits or client assistance funding in CarePaths
    • Obtain and enter initial authorizations
    • Enter ongoing authorizations provided by insurance companies or EAP
    • Update any client insurance changes in both the client’s file and in CarePaths
    • Work with counselors to ensure proper authorizations are in place and valid
  • Maintain Client Assistance Funding spreadsheet (Sam Fund, Open Door, New Horizons, etc.)
  • Able to answer client questions regarding their accounts and prepare client statements as needed.
